1. Client Consultation & Needs Assessment
Objective: Understand the client’s needs and provide tailored real estate solutions.
Initial Consultation: Every client is scheduled for an initial consultation either in person or virtually to discuss their real estate needs (buying, selling, renting, or investing).
Needs Assessment: We listen to the client’s preferences, desired location, budget, and property type to tailor our search or offer.
Documentation: Clients may be asked to provide basic documentation (e.g., pre-qualification letter, proof of income) as needed.
2. Property Listing Process
Objective: Efficiently list properties on the market with accurate information.
Listing Creation: All new properties are listed with detailed descriptions, professional photographs, and accurate information (square footage, amenities, location, price, etc.).
Marketing Strategy: We employ targeted marketing strategies using multiple platforms, including the CT Estates website, MLS (Multiple Listing Service), social media, and local advertising.
Open Houses: Open houses are scheduled and promoted for properties that require additional exposure. All potential buyers are encouraged to attend for a full tour of the property.
3. Property Showings & Tours
Objective: Provide potential buyers and renters with seamless access to properties.
Appointment Scheduling: Property tours are scheduled to accommodate client availability. We ensure timely showings and clear communication with all parties involved.
Guided Tours: A licensed agent accompanies clients to each property, providing detailed information, answering questions, and pointing out key features of the home.
Follow-Up: After showings, agents follow up with clients to gather feedback and discuss next steps.
4. Negotiation & Offer Process
Objective: Ensure clients receive the best deal and effectively negotiate terms.
Offer Presentation: When a client is interested in making an offer, the agent presents the offer to the seller or listing agent, ensuring all terms and conditions are clearly outlined.
Negotiation: Agents negotiate the price, terms, and conditions on behalf of the client, keeping them informed throughout the process.
Contract Review: Once an offer is accepted, the agent reviews all documents with the client to ensure clarity and accuracy before moving forward.
5. Closing & Transaction Finalization
Objective: Ensure a smooth closing process and satisfaction for all parties involved.
Pre-Closing Coordination: We coordinate with lenders, attorneys, and other professionals to ensure all necessary documents and funds are in place for closing.
Final Walk-Through: A final walk-through of the property is scheduled to ensure that it meets the client’s expectations before closing.
Closing Day: CT Estates representatives accompany clients to the closing, ensuring all paperwork is correctly signed and the transaction is finalized.
6. Property Management Procedures (If Applicable)
Objective: Provide top-tier property management services for rental properties.
Tenant Screening: We perform thorough background checks, including credit, criminal, and rental history, before approving tenants.
Lease Agreement: A standard lease agreement is provided to tenants, outlining all terms and conditions of the rental agreement.
Maintenance Requests: Tenants can submit maintenance requests through our property management system, which are handled promptly and professionally.
Rent Collection & Disbursement: Rent is collected on time, with clear records provided to both tenants and property owners.
7. Client Communication & Updates
Objective: Maintain open and clear communication with all clients.
Regular Updates: Clients receive regular updates regarding the status of their transactions, including new listings, potential offers, negotiations, and closing details.
Availability: Agents are available via phone, email, and text to answer questions or address concerns promptly.
Post-Sale Follow-Up: After closing, agents follow up with clients to ensure they are satisfied with their purchase or rental and provide support with settling in if necessary.
8. Compliance with Laws and Regulations
Objective: Adhere to all applicable local, state, and federal real estate laws.
Fair Housing Compliance: We ensure all practices comply with Fair Housing laws, providing equal opportunity to all individuals, regardless of race, color, religion, sex, familial status, national origin, or disability.
Licensing and Continuing Education: All agents at CT Estates are licensed and complete regular continuing education courses to stay informed about changes in real estate laws and market trends.
Data Protection & Privacy: We adhere to strict data protection policies to safeguard the personal information of our clients, in compliance with the Privacy Policy and applicable regulations.
9. Dispute Resolution
Objective: Resolve any conflicts or disputes promptly and fairly.
Mediation: In the event of a dispute, CT Estates encourages mediation to resolve issues without resorting to legal action. We aim to find a fair resolution that satisfies all parties.
Escalation Process: If mediation does not lead to a resolution, the dispute may be escalated to management or, if necessary, legal professionals.
10. Continuous Improvement
Objective: Continuously improve our processes and customer satisfaction.
Client Feedback: We regularly seek feedback from clients to ensure our services meet their expectations.
Process Review: CT Estates routinely reviews and updates our standard operating procedures to adapt to industry changes and improve efficiency.
